Responsibilities

Primary responsibilities include:

  • Oversees, evaluates, and provides work direction to staff.  Responsible for the operation of student accounting processes including billings, finance charges, outsourced payment plans, electronic data transfers to and from 3rd parties and other Avila University departments, accuracy of the student accounting database, compliance with government regulations.
  • Provides financial counseling for parents and students regarding payment options and payment plans with ability to negotiate special arrangements, in conjunction with their Supervisor.  When necessary, resolves problems and questions with students or parents regarding student finances.  Contacts and initiates the settling of student account balances in escalated or special situations.
  • Compiles data and produces the IRS Form 1098-T (Tuition Statement). Adjusts students’ accounts when necessary and sends appropriate refund letters in a timely manner.
  • Reconciles general ledger accounts related to financial aid (State of Missouri scholarships and grants, outside scholarships and private loans).
  • Other duties as assigned

Qualifications
Required qualifications include:

  • Bachelor’s Degree Required. Master’s Degree Preferred
  • Excellent public relations, oral and written communication and ability to communicate sensitive and/or complex information in a confidential and straightforward manner.
  • Must be accurate and detail oriented.
  • Experience with Jenzabar preferred
  • Ability to problem solve and handle multiple priorities and deadlines.
  • Proficient user of Microsoft Office Excel, Access, and Word.
  • Experienced in financial database systems with the ability to manipulate large amounts of data.
  • Basic accounting skills.

Responsibilities
This position provides academic data support including writing Infomaker reports and queries; completing required institutional reporting (e.g. Clearinghouse, IPEDS, MDHE); validating data; and assuring that institutional academic data is accurate.  Works independently and possesses effective organizational and time management skills.  Works with data providers in other areas in fulfilling both internal and external requests for institutional data.  This position provides oversight for all institutional data reporting and provides oversight for the work of the Institutional Research Office Associate.

Qualifications
Bachelor’s Degree in a field with strong technical skills.  Master’s degree preferred.  Minimum of four years’ experience working in an academic support office in a higher education environment.  Experience working with an ERP system is required with preference given to a candidate with experience working with academic and institutional data and reporting.  Preference will be given to a candidate with strong skills in using a report-writing tool to extract data from a SQL environment and who can assist with data analyses.  Candidates must have a strong organizational skills, be able to assure accuracy of data with strong attention to details, have strong problem solving abilities, and provide a positive customer service orientation.

Responsibilities  

The CRM Data Coordinator reports to the Associate Vice President for Undergraduate and Graduate Admissions. This position oversees the implementation and maintenance of the university’s CRM; currently Radius, by Campus Management. This position provides support to functional users in day-to-day management of Radius functionality in support of admissions initiatives including event management, query and report development, communication support, CRM support, territory management support, document management, data uploads into Radius and data integrations with the Student Information System and other campus systems such as PowerFaids,

This position is responsible for assessing current functionality and working with admissions leadership to identify processes that require improvement suggesting enhancements and solutions that support admissions goals and initiatives.  This includes taking an active role in staff training for the data systems, assisting the AVP of Admissions with recruitment planning based on available data. This position will serve as one of the Admissions contact with the software vendor.

 

Primary Responsibilities Include:

Assists in the admissions technology strategy for the University, including the optimal configuration, usage, and evaluation of the performance of our CRM.

Coordinating with admissions leadership and functional leads to gather business requirements, assess current functionality and processes, and suggest system enhancements in support of office goals and initiatives.

Developing and testing new functionality as it is introduced by the software vendor.

Providing leadership for the implementation and training of new functionality and improved processes in the system.

Developing data models and reports, which support the needs of the admissions department.

Review requests for direct access (roles and permissions) to the Admissions technology.

Maintaining data integrity and quality and ensuring accuracy of student records.

Building customized dashboards and analytical reports for admissions staff

Implementing communication flows during recruiting cycles.

Serves as primary contact for Admissions Department issues and questions related to the university’s CRM

Supporting admissions staff by maintaining day-to-day functionality within Admissions, including monitoring the user experience for prospective students and staff, support of event management, admission application support, query and report development, communications support, workflow maintenance, data uploads into admissions recruiting software and data integrations with campus systems.

Troubleshooting admissions technology-related issues and communicating with

appropriate staff as needed.

Serving as liaison with campus and system technical staff.

Perform other duties as assigned (20%):

Attending admissions technology related conferences and other professional development opportunities.

Contact Tracers call members of the university community who are diagnosed or exposed to an infectious disease. The contact tracer initiates isolation protocols and identifies individuals who have had contact with a case of exposure.Experience in healthcare/healthcare management who can provide contact tracing following the Center for Disease Control (CDC) guidelines. Support the Assistant Vice President of Student Development and Success manage day-to-day tasks related to contact tracing and housing-related issues.  Tasks include, but are not limited to contact tracing, answering phones, returning calls, filing, tracking and logging COVID cases or exposures, data entry, and meeting with student staff. This position reports to the Assistant Vice President for Student Development and Student Success. Essential Functions
The following are the functions essential to this job:

  • Conduct contact tracing on students who test positive or have been exposed to COVID-19.
  • Responsible for reporting confirmed cases to the MO Department of Health.
  • Conduct confidential interviews in a professional manner
  • Collect and record accurate information during the interview.
  • Interview identified contacts, assessing symptoms, and referring them for testing if necessary.
  • Provide contacts with regulated information on isolation and quarantine procedures.
  • Maintain ongoing contact to monitor symptoms.
  • Comply with all privacy laws to protect individual’s personal health information and FERPA
  • Track cases and exposure to COVID-19.

Position Available:  Director of Donor Relations

Position Summary:  The Director of Donor Relations is a mid-level position that plays a critical role in retaining and increasing revenue from existing mid-level donors to support Avila’s mission, identifying and qualifying donors to become major donors and stewarding donors. This is an exciting opportunity for a passionate and enthusiastic development professional to be a part of an emerging program that will provide personal attention to donors giving between $250-$2,500 with a goal of increasing their giving and engagement. The Director of Donor Relations will work collaboratively with the entire advancement team to develop, implement, and assess strategies to increase giving and engagement across affinity groups and geographical areas.

Principle Responsibilities:

In collaboration with Advancement leadership, the Director of Donor Relations identifies, puts into place, and evaluates an annual plan for a multi-segment mid-level donor program designed to meet the fundraising needs of Avila University.

Personally manage a portfolio of ~500 donors giving $250 – $2,500 to maximize annual revenue.

Participate in and play a coordinating role in meetings focused on plans for cultivation, stewardship and solicitation of mid-level and major donors.

Builds relationships with mid-level donors via phone calls, in-person visits, personalized email communications, ongoing written contact, and events.

Compile and create monthly e-newsletters to various constituent groups with the purpose of building engagement.

Develop outreach plans that demonstrate appreciation, recognition, and engagement of mid-level donors and prospects.

Develop and run outreach programs (i.e., monthly giving and infinity groups) to engage mid-level donors.

Promote and engage donors in Avila’s planned giving program.

Analyze mid-level donor trends throughout the year to assess results and interprets data to recommend and implement appropriate changes to targets or adjustments in strategies.

Work with leadership to forecast mid-level program revenue and expenses.

Serve as subject matter expert on mid-level donor management and keeps abreast of industry best-practices.

Contribute to team effort by accomplishing other assignments and special tasks as requested.

Minimum Qualifications:

Education:  Bachelor’s degree required; Master’s degree and CFRE certification preferred.

Experience:  Minimum two to five years of proven experience in securing annual, major, and/or planned gifts and meeting fundraising goals.

Skills:  Must have strong interpersonal skills; pay close attention to detail; manage complex tasks and meet deadlines; and have the ability to work independently and as part of a dynamic team. Must be self-motivated and disciplined to achieve goals. Exceptional customer service.

Position Available: At-Risk Persistence Specialist

Appointment Date: November 15, 2020

Responsibilities:

  • Demonstrate a student-centered philosophy in support of student success.
  • Work collaboratively with Center for Student Excellence (CSE) staff to implement persistence strategies targeted to meet the needs of Avila’s at-risk student groups.
  • Conduct regular student success meetings with students, as referred by the academic probation committee, utilizing progress reports, mid-term grades, and/or student probation records.
  • Provide academic support as requested via referrals from the Care Team and/or faculty and staff.
  • Work within Avila’s Early Alert system to identify struggling students, working with identified students to overcome obstacles in order to remain in school.
  • Collect data related to students served, the issues they face, services offered, or referrals made through personal data collected as well as Retention Management systems.
  • Work with students to ensure a successful fall/spring registration process.
  • Educate/conduct workshops/outreach for campus community as it relates to meeting the unique needs of at-risk students.
  • Identify and implement best practices for working with at-risk student groups.
  • Monitor potential barriers to student success and recommend modifications to processes, policies, and systems impacting student success.
  • Develop and coordinate transition orientation program(s) for transfer students with mentors.

Qualifications: 

  • Bachelor’s degree, 1-2 years’ experience,  awareness of best practices in working with at-risk student groups.

Responsibilities
This position is responsible for providing quality Interlibrary Loan (ILL) Department services in collaboration with the supervisor of the Interlibrary Loan Department to ensure quality ILL services to Avila patrons and patrons at other libraries. This position works on an as-needed basis, Sunday through Saturday during the two academic semesters. During summer terms, this position works if the GA is taking Avila Masters-Degree classes. This position functions under the general supervision of the Avila ILL Supervisor.

Assists in Providing Interlibrary Loan Services:

  • Responsible for assisting with the daily functioning of the Interlibrary Loan department in collaboration with the Supervisor of Interlibrary Loan Department.
  • Verifies and searches for requested materials for local patrons and requesting libraries. This requires the use of various bibliographic tools, both print and online.
  • Maintains a cooperative and positive communication system between the Interlibrary Loan department and its patrons and borrowing libraries. Notifies and resolves problems with patrons regarding their requests.
  • Assists Avila patrons with ILL questions and general ILL information.
  • Tracks progress and keep statistics on all ILL borrowing and lending activities and prepare reports as requested.
  • Other duties as assigned
