  English Club Constitution

Article I: English Club
Date of Adoption - 10/27/06

Article II: Purpose

  • to promote community among Avila students interested in the study of English
  • to promote development of the whole person
  • to celebrate diversity
  • to commit to service to the community

Article III: Membership
All English majors and minors enrolled for credit at Avila University may participate.  Students who wish to join will be permitted to do so at any time.  The Secretary will record the membership list at the beginning of each semester. 

This organization shall not discriminate on the basis of race, color, national origin, religion, gender, disability, sexual orientation or age in any of its policies, procedures, and practices. This policy will include, but is not limited to recruiting membership, organization activities, or opportunity to hold office.

Article IV: Procedures
The Executive Officers shall be:  President, Vice President, Treasurer, and Secretary. The Executive Officers shall be elected 1) by a majority vote 2) from club member and 3) by secret ballot at the beginning of each academic year.  All officers shall maintain a 2.0 GPA to retain their office.  Any officer who does not maintain his/her GPA will be replaced at the end of the semester by nominations and majority vote of the club membership.  A non-voting faculty advisor is responsible for consulting with the English Club on all matters.  The advisor is not responsible for the organization, its finances, or individuals within the organization.

This organization will not conspire to engage in hazing, participate in hazing, or commit any act that causes or is likely to cause bodily danger, physical harm, or personal degradation or disgrace resulting in physical or mental harm to any fellow student or person attending institution.

Article V: Policymaking
Monthly meetings will be called by the club’s president or vice president.  Additional meetings will be called as needed.   A quorum of three active members is required at meetings.  English Club shall establish standing and special committees as it deems necessary.  It shall ratify by a majority vote the appointment of all committee chairs.  Decision-making and other business will be conducted at meetings after introduction, discussion, and a call for a vote. 

This organization shall comply with all University and campus policies and regulations and local, state, and federal laws.

Article VI: Dues
There are no dues or other financial obligations to participate in this organization. 

Article VII: Financial Responsibility
Club members will not be reimbursed for expenditures that exceed funds available or for expenditures not approved by one of the club officers.

Article VIII: Officers, Duties and Requirements
President

  • Schedule and chair meetings
  • Represent English Club at COP and other campus meetings and events
  • Request renewal or increase of funds each spring
  • Submit receipts for reimbursements

Vice-President

  • Assist the president in the above duties
  • Take president’s place in case of illness, emergency, removal or departure
  • Submit receipts for reimbursements

Secretary

  • Establish and maintain mailing list
  • Take minutes during meetings
  • Distribute minutes through mailing list
  • Notify members regarding meetings and upcoming events

Treasurer

  • Manage the budget
  • Submit receipts for reimbursements

The English Club agrees to abide by the policies of Avila University as well as all federal, state and local laws.  This Constitution and any revisions or amendments must be approved by the Student Activities and Budget Advisory Committee prior to implementation.
